Real-Time Workplace Analytics to Support Scalable Growth
As a global technology leader, UBER faced rapid growth in its Netherlands operations. With space pressure building early in the office’s lifecycle, the workplace team needed to understand how the space was actually being used – and when it would reach capacity.
By partnering with Spaceology, UBER gained real-time occupancy intelligence to manage growth efficiently, avoid premature relocation, and optimise their workplace design.
Challenge
UBER’s workplace manager knew the team would outgrow the Netherlands office within 18 months if expansion continued at pace. However, committing to a larger footprint too soon would mean wasted resources and increased overhead.
The challenge was clear: enable confident, evidence-based space decisions by measuring actual space utilisation – not relying on booking data or team assumptions.

Our Solution
Spaceology deployed its occupancy analytics solution across four floors at UBER’s headquarters, installing sensors at desk, meeting room, and collaboration area level. This provided the property team with a comprehensive view of how space was being used through:
Historical analytics revealed utilisation trends, peak pressure points, and departmental differences.
Insights informed workplace design – including resizing meeting rooms and reallocating space for headcount growth.
The data allowed UBER to model different space scenarios, identify underutilised areas, and defer costly expansion decisions with confidence.

Results
With live and historical occupancy data in hand, UBER achieved multiple strategic wins.
Delayed relocation by 12 months, avoiding major operational costs.
Improved meeting room design, based on real demand (not capacity assumptions).
Enabled headcount increases within the existing footprint.
Reduced reliance on perceived need, replacing it with data-backed decisions.
Increased utilisation across all work zones, with better allocation of resources and facilities.
